Fact is an International financial business accounting software. It is developed by Vedika Software Pvt. Ltd. in Calcutta. Which is used to store and maintain daily transactions like Journal, Cash and Bank Book, Purchase Book, Sales Book, Purchase return, Sales Return, Consumption and Production Entry but It will automatically create Reports, Cash/Bank Book Register, Ledger Balance, Stock Summary, outstanding report, Trial Balance, Final Account (Profit & Loss and Balance Sheet) & Other many Reports.
- How to open the Fact program
- Syntax:-
1. Select the start menu.
2. Select the Run.
3. Type: – c:\Factwin\Factwin.exe
4. Press enter key to open the fact program.
OR
- Double click on Fact Icon from desktop.
- Click on ok.
- Type the user name(manager)
- Type the password(if any)
- Click on ok.
OR
- Click on start bar.
- Click on all programs
- Click on fact accounting
- Again Click on fact accounting
- How to close Fact program
- Select the Account menu.
- Select the exit.
- How to create a new company in Fact program
- Syntax:-
- Select the account menu.
- Select the ‘New’ option.
- Enter the initials(Max.3 character only)
- Select the data disk drive e.g. d: or c:
- Enter the name of the Account (Company Name)
- Enter the address of the company.
- Enter the short Name of the company.
- Enter the income tax number of the company.

Select the install AR/AP – Yes.
- Click on none option.
- Press ALT+S key or click on save button.
- How to modify company
- Syntax:-
1. Select the Account menu.
2. Select the ‘modify’ option.
3. Press F1 key and select the company code which you want to modify.
4. Modify your required option.
5. Press ALT+S key to save the changes.
- How to delete the company
- Syntax:-
Account menu > delete > press F1 key & select company code which you want to delete > press enter key > confirm deletion –yes.
- How to create the General Ledgers
- Syntax:-
- Select the master Menu.
- Select the Chart of accounts
- Select the General Ledger.
- Click on Add button.
- Enter the General Ledger code.
- Enter the Description (Ledger Name)
- Select the PL or BS Account.
- Press F1 key & select the PL/BS Group.
- Press ALT+S key to save the ledger.
- Note: – check cash/bank option only in case of cash or bank ledger creation

- How to set the system control accounts or ledgers
- Syntax:-
1. Select the account Menu.
2. Select the preferences.
3. Select the system controls.
4. Select the P/ L and Cash, stock, purchase, sales one by one and set the all required system control ledgers.
5. Click on cancel or press Esc key to get out of the setting.
- How to create the salesmen/agents
- Syntax:-
1. Select the master Menu.
2. Select the salesmen/agents
3. Click on add button.
4. Enter the agent code.
5. Enter the agent Name.
6. Enter the agent address.
7. Enter the agent city.
8. Enter the state, postal code, phone No., commission %
9. Click on save button.
- How to create the vendor
- Syntax:-
- Select the master menu.
- Select the Vendors/customers
- Select the Vendors.
- Click on add button.
- Enter the vendor code.
- Enter the vendor Name.
- Click on General Ledger box & press F1 key, select the sundry creditor.
- Click on save button.
- How to create the customers
- Syntax:-
1. Select the master menu.
2. Select the Vendors/customers
3. Select the Customers.
4. Click on add button.
5. Enter the customer code.
6. Enter the Customer Name.
7. Click on General Ledger box & press F1 key,
8. Select the sundry Debtor.
9. Click on save button.
- How to create the payment/receipt voucher
- Syntax:-
- Select the Entry menu.
- Select the Voucher- Receipt/Payment.
- Select the One Db/Cr.
- Click on Add button.
- Select the type of voucher- Receipt or Payment.
- Enter the voucher No.
- Enter the voucher Date.
- Press F1 key at GL Account box and select the General Ledger.
- Again press F1 key at Bank/Cash box and select the cash or bank account.
- Enter the name to whom the voucher amt. is paid for or from whom the voucher amt is received.
- Enter the Narration for payment or receipt voucher.
- Enter the Payment or Receipt Amount.
- Click on save button.
- How to Display Payment /Receipts Voucher/ Entry?
Steps
- Select ledger menu.
- Select cash/bank reports.
- Select check list.
- Click on OK.
- How to create the journal voucher
- Syntax:-
- Select the Entry menu.
- Select the journal.
- Click on add button.
- Enter the journal voucher Number.
- Enter the journal voucher date.
- Enter the journal voucher Narration.
- Press F1 key & select General Ledger (Debit A/C)
- Enter the Debit Amount.
- Press F1 key & select the General Ledger (Credit A/C)
- Press enter key to get the credit amount
- Press ALT+S to save the journal voucher.
- How to Display Journal Entry?
Steps
- Select ledger menu.
- Select journal book.
- Click on ok.
- How to create the purchase bill terms
- Syntax:-
1. Select the Account Menu.
2. Select the preferences.
3. Select the system controls.
4. Click on purchase.
5. Click on invoice terms.
6. Click on add button.
7. Enter the Bill term code e.g.1
8. Enter the Description for bill terms e.g. Discount.
9. Press F1 key & select the Ledger code e.g. Purchase a/c
0. Select the sign e.g. –
11. Select include in stock valuation – yes. (For discount only)
12. Type formulae e.g. B & suppress – yes.
13. Click on save button.
For Vat a/c
- Click on Account Menu.
- Click on Preference.
- Click on System Control.
- Click on Purchase Tab.
- Click on Invoice Term.
- Click on Add.
- Type the Number (2).
- Type the description(Vat a/c )
- Choose the Ledger (Value Added Tax) & Sign (+)
- Click on Save.
- How to create the Sales bill terms
- Syntax:-
1. Select the Account Menu.
2. Select the preferences.
3. Select the system controls.
4. Click on Sales.
5. Click on invoice terms.
6. Click on add button.
7. Enter the Bill term code e.g.1
8. Enter the Description for bill terms e.g. Discount.
9. Press F1 key & select the Ledger code e.g. Sales a/c

- Steps:-
1. Select the entry menu.
2. Select the purchases.
3. Select the invoice.
4. Click on add button.
5. Enter the purchase invoice No.
6. Enter the GRN No.
7. Press F1 key & select the vendor Name.
8. Again press F1 key & select the product Name.
9. Enter the QTY. & Rate of the product Name.
10. Select the terms and enter the term amount (discount & vat if any)
11. Enter the narration and press ALT+S key to save the purchase invoice.

- Steps
- Select entry Menu.
- Select purchases.
- Select Return.
- Select add button.
- Type the DB Note (1) & date.
- Select Ref. Invoice by pressing f1 key & press enter key.
- Select the item/product by pressing f1 key.
- Type the quantity to return.
- Click on remarks (being …item purchase return to party name.
- Click on save.
- How to Display Purchase Invoice?
Steps
- Select AR/AP Menu.
- Select purchase Register.
- Select Invoice.
- Click on ok.
- How to Display Purchase Return?
Steps
- Select AR/AP Menu.
- Select Debit Note Register.
- Select Purchase return.
- Click on ok.
- How to create sales invoice
- Steps:-
1. Select the entry menu.
2. Select the sales.
3. Select the invoice.
4. Click on add button.
5. Enter the sales invoice No.
6. Enter the GRN No.
7. Press F1 key & select the Customer Name.
8. Again press F1 key & select the product Name.
9. Enter the QTY. & Rate of the product Name.
10. Select the terms and enter the term amount (discount & vat if any)
11. Enter the narration and press ALT+S key to save the sales invoice.

- Steps
- Select Entry Menu.
- Select sales
- Select Return & press enter key.
- Select add button.
- Type the Sale Ret Note (1) & date.
- Select Ref Invoice by pressing F1 key & press enter.
- Select product by pressing F1 key
- Type the quantity to return.
- Click on remarks (being ….item sales return from party name)
- Click on save.
- How to Display Sales Invoice?
Steps
- Select AR/AP Menu.
- Select sales register.
- Select Invoice & press enter.
- Click on ok.
- How to Display Sales Return?
Steps
- Select AR/AP Menu.
- Select Credit Note register.
- Select sales return & press enter.
- Click on ok.
- How to Backup Data.
- Syntax:-
1. Select the Housekeep Menu.
2. Select the Backup Data.
3. Select eh Backup Path (where you want to Backup)
4. Enter the Backup Password (if any)
5. Click on start.
6. Click on ok button.
- How to Restore Data
- Steps:-
1. Select the Housekeep Menu.
2. Select the Data Restoration.
3. Select the Restore Path (From where you want to restore Data)
4. Enter the Backup password to restore (If any)
5. Click on Start button.
6. Click on ok button.
